Completing your sample approval process in Visibuild

The sample approval process serves as a critical quality control checkpoint in construction projects, ensuring that materials are suitable, compliant, and aligned with the project's design and performance criteria from the outset.

The individuals or parties responsible for signing off on samples can vary depending on the project and its specific requirements. Some stakeholders who might be involved in the sample approval process are:

  • Architects

  • Engineers

  • Clients

  • Subcontractors or Suppliers

  • Quality Control and Assurance Teams

  • Regulatory Authorities

A typical sample approval form in the construction industry serves as a formal document to record the review and approval of materials or products before they are used in a project. The key components commonly found in a sample approval form:

  • Project Information

  • Sample Details

  • Specification Compliance

  • Approval Details

  • Comments/Notes

  • Attachments (supporting documents i.e. test reports or technical data sheets)

  • Distribution of approved sample form

Step 1 - Create a Sample Approval Form at the company level

Creating this sample approval form at the company level will ensure consistency across your business as it will have all of the minimum requirements your company requires for samples.

Step 2 - Import and update at project level

Now that the template has been imported at project level, it is important that it is updated to reflect the project stakeholders responsible for signing off on samples.

Key things to note/remember whilst updating this template is to ensure you have:

  1. Utilise viewers to ensure relevant stakeholders have access to all of the information

  2. Include all potential reviewers in the template as a task

  3. Non-relevant approvers can be marked as NA

Step 3 - Tracking your Sample Approvals
